Virtual ILT (VILT)

Virtual Instructor Led Training (VILT) Sessions are similar to Instructor Led Training (ILT) Sessions, except that the Locations for VILT Sessions are virtual, hosted via a webinar rather than a physical classroom.

Virtual Location

Virtual Locations are created the same way ILT Locations are created, with the exception that the Virtual checkbox needs to be checked.

To establish a VILT location;

  • Ensure the proper Active Team is selected; should there be more than one Active Team.
  • Click on the LMS Admin tab.
  • Click on the Configuration tab.
  • Once the Configuration page opens, click on ILT Resources.

In the ILT Resources section:

  • Click on the Locations heading to open this panel.
  • Click Add New Location.
  • Name: (required) Enter a Location name or designation.
  • Status: Select if this Location will be Active or Inactive. Only Active Locations will be available for use.
  • Location Type: Select Virtual - General from the dropdown menu to create the Virtual Location for the ILT. 
  • Other virtual ILT formats; for reference sake, virtual ILT meetings may also be held through GoToMeeting, GoToWebinar or GoToTraining programs by selecting any of these specific formats from the dropdown menu.
  • Max Learners: Maximum number of Learners that are allowed in this location. Leave blank for unlimited.
  • Information URL: Input the URL to the Location website or online map. This information can be very useful for Learners attending the Instructor Led Training.
  • Owner: From the dropdown menu, select which Team owns this Location, allowing the LMS Admin for this Team to further edit or update this Location.
  • Team Availability: (required) Select which Teams can use this Location.
  • Description: Optionally, enter any text information which may help to describe or identify this Location.
  • Click Create to create and save your new Location.

The newly created Virtual Location will now display in your Locations list.

Virtual Instructor Led Training (VILT) Learning Element Sessions

A single Instructor Led Training Learning Element can include either ILT Sessions, VILT Sessions or a combination of both.

To create an Instructor Led Training Learning Element, follow steps described in; Instructor Led Training

In this example an ILT Learning Element called 'Accord Learner Training Workshop' has already been created.

Now we can add a new VILT.

  • Ensure the proper Active Team is selected; should there be more than one Active Team.
  • Click on the LMS Admin tab.
  • Click on the Catalog tab.
  • Click on the desired ILT Learning Element to open it's context menu.
  • Select LE Sessions from menu.

In the LE Sessions windows that display:

  • Click Add New Session.

When a new Session is created you have the option to select a physical location or a virtual location. A Virtual Instructor Led Training Learning Element are normally held at virtual locations. For this particular example, a WebEx location is used to create a new VILT.  

Once a virtual location is selected from the Location drop down, the UI will refresh and three new input fields (specific to VILT Sessions) will display.

  • Webinar URL(required); This will be the link to open the VILT Webinar.  Paste the URL to a specific Webinar previously created and scheduled through a third party Webinar service; such as WebEx, GoToMeeting, Adobe Connect, etc.
  • Utilization Tracking: – Select which kind of automatic tracking you would like, if any. Please see additional information just below on Utilization Tracking.
  • “Attended” on Open: – Check box if you would like to automatically track a Learner as 'attended' by merely opening the event.
  • Click Update to save changes and create your VILT.

FURTHER INFORMATION REGARDING UTILIZATION TRACKING

One method to encourage active Learner participation with a GoToWebinar session is to set Utilization Tracking to "Complete" on All poll questions answered.

Using this option from the dropdown menu will only track and report the Learning Element as 'Complete', if and when a Learner completes any associated GoToWebinar poll questions. 

After clicking update the new VILT session will then display under the LE Sessions list; as demonstrated below.

Repeat prior steps as needed to create any number of VILT sessions.

VILT in Learner's My Courses

The Learner’s UI for the VILT Session review and registration will be the same as ILT with the exception that once a VILT Session is Registered, the UI will update to show a Launch button in addition to the Unregister button.

The Add to Calendar link allows a Learner to download a .ics file that can include a link to the webinar.

The Launch button will open the VILT Webinar in a modal or popup window once ready to start.

If the Learner tries to Launch the webinar too early, they will receive a too-early notification. This ensures that a Learner will not accidentally Launch a webinar, which would trigger automatic tracking if so enabled.

VILT Session Roster

In addition to any automatic tracking selected from the VILT Session Details, an Instructor maintains use of a standard Session Roster in order to manage any Learners.

Virtual ILT Configuration

The allowable Webinar Preview period is customizable.

  • Ensure the proper Active Team is selected; should there be more than one Active Team.
  • Navigate to LMS Admin tab.
  • Click on the Configuration tab.
  • In the Configuration panel, click on General Options.
  • Expand Virtual ILT.
  • VILT Launch Preview: Select the number of minutes before a VILT Session begins that a user can launch the Webinar window.
  • Force-Open New Window For Mobile: (checked by default) This forces the Virtual ILT to launch in a new window whenever accessed while using a mobile device.
  • Click Update to save changes.
