Learning Catalog Folders, Courses or Paths

The Learning Catalog

The LMS Learning Catalog organizes and stores all the various forms of Learning Content within the LMS.

Learning Content is referred to as Learning Elements.

Navigate to the LMS Learning Catalog by;

  • Ensure the proper Active Team is selected; should there be more than one Active Team.
  • Click on the LMS Admin tab.
  • Click on the Catalog Tab.

Intent Behind the Various Types of Learning Catalog Folders

In it's simplest form, any Learning Catalog Folder is fundamentally a hierarchical digital storage folder, used to store other folders or various forms of Learning Content; also referred to as Learning Elements.

Rather than storing all Learning Content within a single folder, the Accord LMS allows for the logical storage and segmentation of various types of Learning Elements through the use of different hierarchical folder-types. 

Choosing to utilize a particular type of Learning Catalog storage folder and taking advantage of any best-use features, facilitates the easy utilization and administration of Learning Content. 

Logically setting-up the LMS Learning Catalog with the various forms of storage folders, allows for the uncomplicated management of the various types of Learners, whether these be individual Learners or a special group of Learners.

The purpose behind the various forms of Learning Catalog folder-types, which include Learning Paths, Courses, Chapters, Collections, Learning Folders or Organizational Folders, is to facilitate the logical storage, utilization and administration of the various forms of Learning Content intended to be utilized by your LMS Learners.

Learning Elements

Throughout the Accord LMS System, to include throughout any LMS help documentation, specific types of Learning Content are commonly referred to as Learning Elements.

Image just below shows 4 Learning Elements contained within their parent hierarchical Learning Catalog Folder, which in this particular case is titled First Aid and CPR Refresher. This particular folder-type is called a Course; a Course being one of the various types of Learning Catalog folders which may be utilized within the LMS Learning Catalog in order to store and segment selected Learning content.

Enrollment

You will assign specific Learning Catalog Folders, which contain their respective Learning Elements, to specific Learning Roles.

Access to specific Learning Catalog Folders and access to their associated Learning Elements is deliberately assigned, either to specific Learners or segmented groups of Learners, via specific Learning Roles, through a process called Enrollment.

Through the Enrollment process, Learners are assigned to specific Learning Roles, which then grants them access to this Role's associated Learning Elements. 

 

To assign certain Learning Catalog Folders to certain Learning Roles;

  • Ensure the proper Active Team is selected; should there be more than one Active Team.
  • Click on the LMS Admin tab.
  • Click on the Actions tab.

The 'My Catalog' Folder is Always the Top Parent Folder

Any given hierarchical folder structure within the LMS Learning Catalog will always be situated under the top My Catalog folder. 

Once a given Learning Folder, Organizational Folder, Course or Chapter has been created within the Learning Catalog, your chosen Learning Elements may then be added.

Organization of Learning Content within the LMS Learning Catalog

It greatly increases the effectiveness and usefulness of the Learning Catalog by logically creating and situating the various Learning Catalog folder-types to include any associated Learning Content. 

A well-structured Learning Catalog facilitates easy administration and management of various Learners and Users, helping to ensure that any ongoing learning competencies and other learning needs are efficiently and regularly satisfied, helping to avoid potential noncompliance issues. 

Copying, Moving or Deleting Learning Catalog Material

Your various forms of material inside your Learning Catalog may be be readily copied, moved or removed from the LMS Learning Catalog.

Image below presents what a typical LMS Learning Catalog might look like when in the LMS Admin tab > Catalog tab.

As you can see in the image, when no items within the Catalog have been selected by having it's associated box checked, the button options oriented near the top of the page which display; Copy To, Move To or Remove/Delete stand grayed-out.

Clicking the box next to an item will highlight the buttons so that you may copy, move or delete select items as desired.

Note; Certain button options may be unavailable depending on which specific item was selected from the Catalog.

Learning Catalog Folder Types

In the most fundamental of terms, any type of folder used to store and segment your various types of Learning Content within the LMS Learning Catalog, are types of hierarchical storage folders, whether these folders are referred to as Learning Paths, Collections, Chapters, Courses, Learning Folders or Organizational Folders.

To make the LMS Learning Catalog more useful, Accord designed certain folder-types with numbers of unique characteristics, potentially distinguishing their best-recommended usages.

As a typical-use example; individual Learning Folders may be placed under a broader Course Folder. This same Course Folder may be placed under a yet-broader Learning Path Folder. 

Populating your Learning Catalog with storage folders in logical and sensible sequence will assist in keeping the Catalog organized in ways making it easy to use and easy to store your particular organization's various forms of Learning Content. 

Learning Folders

Learning Folders are types of hierarchical storage folders.

Learning Folders can be created under other Learning Folders or Organizational Folders.

Learning Folders may contain sub-folders which can be either Learning Paths, Courses, Organizational Folders other Learning Folders or Learning Elements.

There are two general types of Learning Catalog Folders; Parent Folders and Child Folders. 

A Parent Folder is a folder that is higher-up in the Learning Catalog hierarchy at any given level. 

In order for any folder to be considered a Parent Folder, it must contain at least one Child Folder.

A Child Folder or sub-folder is a folder that is lower-down in the Learning Catalog hierarchy and always contained within a Parent Folder. 

Any folder can qualify as being both a Parent Folder and Child Folder, depending on it's particular location within the folder hierarchy. 

In the example image below, Accord LMS Example Courses is the Parent Folder. It's Child Folder is LMS Admin Training

Create a Learning Folder

Create a new folder structure in the Learning Catalog by creating a new Learning Folder under the My Catalog Folder.

You can also create a new Learning Folder under an existing Child Folder.

  • Always ensure the appropriate larger Active Team is selected by using it's associated dropdown menu.
  • While in the LMS Admin tab > Catalog tab;
  • Click on the Parent Folder you want to create the new Child Folder under.
  • Select New Folder from it's context menu.

The New Folder panel opens.

In GENERAL SETTINGS;

  • Enter a necessary name for the Folder.
  • Optionally, in the Description text field, enter any accompanying information or notes.

ADVANCED SETTINGS;

If necessary, click heading to open section.

Folder Type: 

Here you may use the Folder Type dropdown menu to select the specific type of hierarchical Learning Folder you desire this specific storage folder to be, whether a  ChapterCollectionCourseFolderLearning Path or Organizational Folder; each specific type of which may possess some varying features or better recommended usages.

Custom Icon:

You can utilize this field to select a custom icon for this Folder, should you desire it to have a unique appearance or to allow for quick visual identification.

Enter any optional reference data.

SCORING;

Here you will set any scoring parameters for this Folder.

Passing Score:

Select the desired Score to calculate Success or Failure when any assigned learning content has been duly completed by a Learner. If left blank, Success Status will not calculate.

Score Weighting:

Choose how to calculate Folder Score. 

Equal – all Learning Elements and Child Folders having scores will be averaged. 

Custom – all Learning Elements with score weights will be weighted. Total weight must always be 100%. 

None – no score weight will be considered or calculated from this folder.

UPDATE;

Ensure to always click Update at bottom to save any changes.

Getting Started Quick and Easy

A simple method for getting some Learning Content to some Learners is to;

  • Add a new Learning Folder to the Learning Catalog.
  • Add any desired Learning Elements to this new Learning Folder.
  • Set terms and conditions for the new Learning Folder, to include establishing it's associated Learning Role.
  • Assign the desired Learners to the Learning Role you have chosen to associate with this new Learning Folder.

Learners can then login through their Accord LMS portal and gain access to the Learning Elements in this Learning Folder via their newly assigned Learning Role.

Organizational Folders

From a strict functional perspective, Organizational Folders are folder-types identical to Learning Folders (as covered above). 

Note; an important distinction is that Organizational Folders are set to default to be hidden from Learners, thereby prohibiting any Learner access.

Organizational Folders can only be created under Learning Folders.

Organizational Folders cannot contain Child or sub-Organizational Folders.

Organizational Folders may contain sub-folders which can be either Learning Paths, Courses or Learning Folders. 

Learning Elements can be added directly to an Organizational Folder.

By default; a Learner will not be able to see or access an Organizational Folder unless an LMS Admin takes deliberate steps to un-hide all Organizational Folders. 

Steps to un-hide all Organizational Folders are covered just below.  

To Un-hide Organizational Folders

  • Ensure the proper Active Team is selected; should there be more than one Active Team.
  • Click on the LMS Admin tab.
  • Click on the Configuration tab.
  • Once the Configuration page opens, click on Folder Types.

Once in Folder Types click on the pencil icon next to Organizational Folder.

When the Folder Type Details panel opens, un-check the small box next to Folder is Not Visible to Learners.

After updating and saving changes, all Organizational Folders within the Accord LMS Learning Catalog for the selected Active Team will be un-hidden. 

UPDATE;

Ensure to always click Update at bottom to save any changes.

Learning Paths

A Learning Path is a type of hierarchical Learning Catalog Folder which can contain sub-folder types called Collections or Courses.

Learning Paths can be created under Learning Folders or Organizational Folders.

  • Ensure the proper Active Team is selected; should there be more than one Active Team.
  • Click on the LMS Admin tab.
  • Click on the Catalog tab.
  • Click on My Catalog, to open it's context menu.
  • Click on New Learning Path.

The New Learning Path panel opens.

In GENERAL SETTINGS;

  • Enter a necessary name for the new Learning Path.
  • Optionally, in the Description text field, enter any accompanying information or notes.

ADVANCED SETTINGS;

If necessary, click heading to open section.

Folder Type: 

Here you may use the Folder Type dropdown menu to select the specific type of hierarchical Learning Folder you desire this specific folder to be, whether a Chapter, Collection, Course, Folder, Learning Path or Organizational Folder; each of which may possess slightly varying features or better recommended usages.

Custom Icon:

You may utilize this field to select a custom icon for this Folder, as to provide a more unique appearance or to better facilitate quick visual identification.

SCORING;

Here you will set any scoring parameters for this Folder.

Passing Score:

Select the desired Score to calculate Success or Failure when any assigned learning content has been duly completed by a Learner. If left blank, Success Status will not calculate.

Collections

A Collection is a type of hierarchical Learning Catalog Folder which can contain sub-folders; referred to as Courses.

Collections can only be created under Learning Paths.

Always ensure the appropriate larger Active Team is selected by using it's associated dropdown menu.

  • Go to LMS Admin tab > Catalog tab.
  • Click on the heading of the Learning Path you wish to create the Collection under in order to open it's context menu.
  • Click on New Collection.

The New Collection panel opens.

In GENERAL SETTINGS;

  • Enter a necessary name for the new Collection.
  • Optionally, in the Description text field, enter any accompanying information or notes.

ADVANCED SETTINGS;

If necessary, click heading to open section.

Folder Type: 

Here you may use the Folder Type dropdown menu to select the specific type of hierarchical Learning Folder you desire this specific folder to be, whether a  ChapterCollectionCourseFolderLearning Path or Organizational Folder; each of which may possess slightly varying features or better recommended usages.

Custom Icon:

You may utilize this field to select a custom icon for this Folder, as to provide a more unique appearance or to better facilitate quick visual identification.

Courses

A Course is a type of hierarchical Learning Catalog Folder which can contain sub-folders; referred to as Chapters.

Courses can also be directly populated with Learning Elements. 

Courses can be created under Learning Folders, Organizational Folders, Learning Paths or Collections.

Always ensure the appropriate larger Active Team is selected by using it's associated dropdown menu.

  • Go to LMS Admin tab > Catalog tab.
  • Click on the heading of the appropriate Learning Folder, Organizational Folder, Learning Path or Collection you wish to create the Course under and click New Course.

The New Course panel opens.

In GENERAL SETTINGS;

  • Enter a necessary name for the new Course.
  • Optionally, in the Description text field, enter any accompanying information or notes.

ADVANCED SETTINGS;

If necessary, click heading to open section.

Folder Type: 

Here you may use the Folder Type dropdown menu to select the specific type of hierarchical Learning Folder you desire this specific folder to be, whether a  ChapterCollectionCourseFolderLearning Path or Organizational Folder; each of which may possess slightly varying features or better recommended usages.

Custom Icon:

You may utilize this field to select a custom icon for this Folder, as to provide a more unique appearance or to better facilitate quick visual identification.

Chapters

Chapters are types of hierarchical Learning Catalog Folders which can contain Learning Elements.

Chapters can only be created under Courses.

Always ensure the appropriate larger Active Team is selected by using it's associated dropdown menu.

  • Go to LMS Admin tab > Catalog tab.
  • Click on a given Course to open it's context menu.
  • Click on New Chapter.

The New Chapter panel opens.

In GENERAL SETTINGS;

  • Enter a necessary name for the new Chapter.
  • Optionally, in the Description text field, enter any accompanying information or notes.

ADVANCED SETTINGS;

If necessary, click heading to open section.

Folder Type: 

Here you may use the Folder Type dropdown menu to select the specific type of hierarchical Learning Folder you desire this specific folder to be, whether a  ChapterCollectionCourseFolderLearning Path or Organizational Folder; each of which may possess slightly varying features or better recommended usages.

Custom Icon:

You may utilize this field to select a custom icon for this Folder, as to provide a more unique appearance or to better facilitate quick visual identification.

References:

Enter any optional reference data.

SCORING;

Here you will set any scoring parameters for this Folder.

Passing Score:

Select the desired Score to calculate Success or Failure when any assigned learning content has been duly completed by a Learner. If left blank, Success Status will not calculate.

Custom – all Learning Elements with score weights will be weighted. Total weight must always be 100%.

UPDATE;

Ensure to always click Update at bottom to save any changes.

Updating Folder Details

You can modify the folder information in the Folder Details window.

Always ensure the appropriate larger Active Team is selected by using it's associated dropdown menu.

  • Go to LMS Admin tab > Catalog tab.
  • Click on desired folder.
  • Select Folder Details from the Context Menu.
  • The Folder Details window displays. Perform the required modifications.
  • Click Update when finished.

Scoring

Scoring Process: Folder Types can have their Scoring Process set to Roll Up or Pass Through. This is done from the Folder Type Detail UI.

Passing Score: Select a Passing Score to calculate Success Status of Passed or Failed once the content is completed and the Score is calculated. If the Passing Score is blank, the Success Status will not be calculated.

Score Weighting: At the individual Folder level, Pass Through has no settings.  All scores from child folders or LE are simply passed through to the parent folder without any processing at this level. Roll Up scoring has the following options:

  • Equal: all scorable LE and child Folders with scores are weighted the same (scores will be averaged).
  • Custom: all scorable LE can be weighted individually. The total weight must = 100%.
  • None: no score will be stored on the Folder level

Click Update when finished to save changes.

Learner List

The Learner List is an easy method to determine which Learners or Users have been enrolled to a given Learner Folder or Learning Element.

Always ensure the appropriate larger Active Team is selected by using it's associated dropdown menu.

  • Go to LMS Admin tab > Catalog tab.

Right Clicking on a Folder or Learning Element will bring up it’s context menu. Click on Learner List to display enrolled Learners or Users. The Learner List will help you to determine, not only who is enrolled, but which method they were enrolled through.

The Learner List displays which shows any enrolled Learners, to include their Enrollment Type, Folder Title, Rolename and Team. You have the ability to drag a column header to the top row in order to preferably group.

 

Filtering a Learner List

You have the option of filtering a Learner List to find information you are seeking more easily.

As an example of filtering, we will assume we are searching for a specific username which is known to contain 'nelson'.

  • Under Username; enter the text 'nelson'.
  • Hover mouse over filter icon to open dropdown list.
  • Click Contains

The list will refresh, showing only those usernames containing 'nelson'.

Orphans Folders

An Orphans folder will automatically be created which will store any Learning Elements not presently held within any other Catalog Folder, allowing you to have continued future access to these Learning Elements.  An Orphans folder will typically be automatically created when;

  • You use the Remove LE from Folder option (on the Learning Element Context menu) and the selected Learning Element is the ONLY copy in the Catalog.
  • You use the Delete Folder option (on the Folder’s Context menu) and the folder contains a Learning Element that is the ONLY copy in the Catalog.

Delete All Orphan LE

The Orphans folder context menu allows you to delete all Learning Elements contained within this folder by a single right click.

To do this:

  • Click on _Orphans folder.
  • Select Delete All Orphan LE from the context menu.
  • A window displays asking, Are you sure you want to permanently delete all the Orphan LE, and all their Attempt records?
  • Click Yes to confirm deletion.

Folder Duration

The folder duration is calculated from the addition of all the different Learning Elements but just one session for each Learning Element. This means that if you open, close and resume a Learning Element, the duration will be added. If the Learning Element is completed and then re-started, just one of the two sessions will be counted. The options are Last, Best, or Last completed session.
