Session Details

Accessing Session Details will assist in the proper administration of any ILT Learning Session.

  • Ensure the proper Active Team is selected; should there be more than one Active Team.
  • Navigate to the LMS Admin tab.
  • Click on the Catalog tab.
  • Locate and click on the desired ILT Learning Session to open it's context menu.
  • Click on Session Details.

The Session Details window will display General Settings, Notifications and Advanced Settings. 

Here you can set any necessary details in order to properly administer your ILT Learning Session.

Click on Notifications or Advanced Settings to open their sections if necessary.

General Settings

Helpful Information Icons: Hovering your mouse over the information icon next to any specific detail type will provide helpful tips for that detail type.

Name: Enter a name for this session.

Start Date Time: Select the Start Date for the Session. If recurrent, select the Start Date for the first instance of the Session.

End Date Time: Select the End Date for the Session. If recurrent, select the End Date for the last instance of the Session.

Recurrence: (Please scroll below to see more information for this detail type.)

Time Zone: Select the proper time zone for the location of the Session.

Location: Use the associated dropdown menu to select from predesignated locations.

Instructor: Use the associated dropdown menu to select from predesignated Instructors.

Recurrence

Click on the Recurrence box to open this detail section.

Recurrence details window will display.

Here you can set a given ILT Learning Session to recur on an Hourly, Daily, Weekly, Monthly or Yearly basis.

Ensure to always click Update at bottom to save any changes.

Notifications

Click on Notifications heading to open section if necessary.

Session Registration (for Learners): Send a registration notification whenever a Learner or User is registered for a Session, whether registered by self or by an LMS Admin.

Session Registration (for Instructors): Send a registration notification whenever an Instructor is registered for a Session, whether registered by self or by an LMS Admin.

Session Update - Send Now (for Learners): Send all registered Learners an Update Notification whenever any details of a given Session are updated. A notification will send immediately upon submitting the update. The checkbox will clear after submit.

Session Update - Send Now (for Instructors): Send all registered Instructors an Update Notification whenever any details of a given Session are updated. A notification will send immediately upon submitting the update. The checkbox will clear after submit.

Advanced Settings

Click on Advanced Settings heading to open section if necessary.

Description: Optional. Use either the Basic Text Box or the Rich Text Editor to provide a brief description for the Session.

Tags: You may optionally enter any tags or terms you find suitable to help your Learners locate this particular session when using the search function.

Max Learners: Enter the maximum number of Learners that may attend this particular Session. Leave blank for unlimited.

Min Learners: Enter the minimum number of Learners needed to participate in this particular Session in order for it to take place.

Team Filter: Visibility of this Session will be limited to the selected Teams. A given Learner must be enrolled for this Session before it will display in their My Courses.

Calendar Invite: Clicking this box will send an Add to Calendar link to Learners when accessing Session Details. An .ics file will download that can be added to the User’s local computer calendar.

Calendar Invite Body: Session description text to be placed into the Calendar Invite Body.

Available Tokens: Tokens available for the Calendar Invite Body customization.

Calendar Reminder: The amount of default time you want calendar events to remind users prior to an upcoming Session. Users will be able to edit their own reminder times when adding the event to their calendar.

Enable Waitlist: Allow wait-listing whenever a Session may reach a set Max Learner limit.

Version History: Session creation date to include any revisions.

Click Update to Save Changes.
